A limited number of sponsorship and exhibitor opportunities are available during the conference. Sponsors are provided booth space in the exhibit area and allowed to present during one or more of the concurrent breakout sessions depending upon level of sponsorship. Exhibitors are provided booth space in one of two exhibit areas.

All sponsors and exhibitors must represent products and services related to PK-12 programs and institutions and the conference planning team reserves the right to refuse participation by vendors with products and services that are unrelated to the administrative and academic needs of PK-12 schools.

Due to limited space in the exhibit area, sponsor and exhibitor participation will be on a first-paid, first-choice basis, and sales will be closed as soon as all exhibit spaces are committed.

This year’s SOTF Conference will include 2 Exhibit Halls, due to overwhelming interest in the conference. Exhibit Hall 2 will include a Networking Lounge and the Technology & Computer Science Playground. So, if the product or service offered is technology related (hardware, software, AI, etc.), you may want to locate your exhibit booth in Hall 2. Both Exhibit Halls will include refreshments and snacks during the scheduled Coffee Breaks.

There are two exhibit halls - Exhibit Hall 1 will be in 316ABC and Exhibit Hall 2 in 311. Exhibit Hall 2 in 311 will include the Teaching and Learning with Technology “Playground” hosted by the Hawai‘i Society for Technology and Education and a Networking Lounge. Vendors showcasing technology or computer science-related products or services are encouraged to select Exhibit Hall 2.

Includes 10’ x 10’ booth with 10’ backdrop and one 6’ skirted table with two chairs.

Each exhibit booth includes two complementary registrations/badges and all meals and receptions. Vendors purchasing multiple booths will receive additional badges.

Booth price includes basic WIFI but does not include electrical power. Power may be purchased from the exhibit hall service manager.

Collaborator Sponsors - $6,000 each (limit of 10 sponsors)

  • One 60-minute-long breakout session on one day of the conference
  • Sponsor banner will appear occasionally on selected pages of the conference digital platform and app
  • Named co-sponsor for a coffee break on one day of the conference
  • Up to two complimentary staff badges
  • One exhibitor booth in exhibit area (10’ x 10’ area) for both days of event
  • Recognition in marketing and day-of-event material

 

Arrangements for both Sponsors and Exhibitors:

  • The conference will host an Exhibitors’ Reception in the exhibit halls at the end of the first day of the conference.
  • Each exhibit booth is a carpeted 10’ x 10’ space with a 10’ backdrop curtain and includes one 6’ x 2’ skirted table and two chairs; a double space is 20’ x 10’ and includes two tables and 4 chairs. Exhibitors may decline some or all of the tables in favor of their own displays or furniture.
  • All sponsors and exhibitors will receive the conference lead retrieval system at no charge.
  • In-app gamification to encourage attendee interaction, as well as Sponsor and Exhibitor Reception game incentivizing attendees to visit Sponsors an Exhibitors during the Reception.
  • Electricity is available for a fee from our Service Vendor, for exhibitors. The fee is waived for sponsors, however sponsors will still need to place the order with out Service Vendor if electricity is needed. Our Service Vendor also rents monitors, furniture, and other equipment.
  • Basic wireless internet access is available at no charge; there is an additional fee for wired internet access, which must be orddered in advance.
  • The Hawai‘i Convention Center (HCC) will not accept deliveries shipped or delivered to its address by freight forwarding and express mail carriers. All materials, displays and equipment must either be personally brought into the exhibit area by the vendor or be shipped to our Service Vendeor, the exhibit area service provider approved by HCC, and our Service Vendor will deliver it to your booth on set up day.
  • Staff badges include breakfast, lunch & coffee breaks both days, and the closing receptions on both days.
  • Set up is between 1:00 PM and 5:00 PM on Wednesday, October 15 and/or between 6:30 AM and 9:30 AM on Thursday morning, October 16. Take down is between 3:00 and 5:00 on October 17 and may not start before 3:00. Vendors that begin taking down their booth earlier than 3:00 on the 17th will not be invited back the following year.
  • Exhibit area hours are from 9:30 AM to 5:30 PM Thursday and 9:30 AM to 3:00 PM Friday.

2025 LSOTF Pre-Conference Sponsorship Information

The Leading the Schools of the Future Summit (LSOTF) will take place on October 15, 2025, the day before the 2025 Schools of the Future Conference and will convene leadership teams from Hawaii’s Public, Private, Parochial and Charter Schools. The Summit provides a unique opportunity for up to four sponsors to interface with key decision makers.

LSOTF Summit & SOTF Speaker Reception Sponsor: Cost $3,200 (1 opportunity)

Sponsorship of the LSOTF Summit AND SOTF Speaker Reception includes:

  • 10-minute speaking opportunity at the start of the Summit
  • Networking Opportunity to interface, connect and develop relationships with school leaders statewide
